A receipt at every drop-off
The piece taken in is described, photographed and attached to a customer. The receipt leaves with them, even for small work: that document is what prevents the argument three weeks later.

A ring left at the counter on Tuesday, a clasp to redo, an order against a deposit: these are the files that go missing most often, and the ones customers remember best. Every piece taken in has its receipt, its status and its history.
A repair is not a sale. Nothing leaves your stock, nothing comes into the till that day, and yet you are holding someone else's property. That is exactly the kind of file a paper ledger does not hold: you need to know who left what, in what condition, against what deposit, and where the piece is today.
The real cost is not the time spent looking. It is the customer on the phone nobody can answer, the piece never collected sitting in a drawer for three years, and the disagreement about the state of a jewel before work started, with nothing to settle it.
A system that tracks repairs settles all three at once: the receipt handed over at drop-off, the status the whole team can read, and the before and after photos.

The deposit is recorded at drop-off and followed through to delivery, where it comes off the total. It does not sit in a drawer with nobody knowing which job it belongs to.

Taken in, sent to the workshop, back, ready, customer told, delivered. Anyone in the shop answers the phone in under a minute, without fetching someone from the back room.

The condition of the piece at drop-off is dated and kept, and so is the result. It protects you, and it is also what customers like to see when they collect their jewel.

A piece to be made follows the same path as a repair: deposit, making, then a delivery turned into a sale. The customer always knows where their order stands.

Every file stays attached to its customer record. You see what that person has already left with you, what they bought, and what they are still waiting for.
Advanced customer tracking on the Premium plan
A repair file is settled in the two minutes of the drop-off. Whatever is written down then is what nobody will be able to reconstruct later: the exact condition of the piece, what the customer actually wants, the date promised and the deposit paid.
The rest is just follow-up. Promise generously on the date, tell the customer as soon as the piece is ready, and record that you told them: that is what prevents the piece forgotten for years and the conversation that comes with it.
